- Call to Order at 7:08 pm
- Roll Call: Present Jason (JCA), Matt (MS), John (JM), Emiko (EB), Jody (JCO), Mike (MC), Parents Karen Ruedinger and Amy Townsend (AT). Absent: David (DR)
- Additions to Agenda: Emiko: need paperwork for invoices, insurance documents, etc.
- Approval of Previous Meeting Minutes – Approved
- New Business: (note: no input received from association)
- Old Business:
- Review upcoming board openings and nominating process. JM, JCO open to standing down in June, depending on applicants for her position. Desire to include younger rowers’ parents in some committees to create leadership pipeline. Stolles, Julia Ratchford are possibilities. JCA to continue as president 24-25. Volunteer, communications, events committees discussed by MC.
- EGRPS club sport bylaws review and potential amendments to EGR Crew bylaws. Matt: bias toward keeping existing rules, including quorum for email vs. meeting voting. Discussed head coach hiring process, where school has control and board supports team. JCA: split the business meeting and team celebration into two events. MS: yacht club publishes slate 60 days in advance, process for proposing candidates. Desire for transparency, bios in advance, etc. Unclear how to allow for parents’ voices in process. Desire for new board members to attend the last few meetings of the year. EB: people nominated need to hear ahead of time if they’ve been accepted or not, get it in writing. MS: will d/w sailing club and high school sailing team.

- MS wants to be transparent and encourage the kids. Organizing coach time to make sure kids don’t fall through the cracks.
- Regattas set: Hungry Eagle 3/2
- Erg-a-thon 9a – 3p. 3/16 – David and Mike to figure out contactless pay.
- Spring Break TBA, rest and student-run.
- Culver and Loyola coaches approached for 3-way regatta on 4/13. Food TBA.
- Mitten races Heron sprints 4/20
- 4/27 GR high school invitational
- 5/4 Laddie Cup Orchard Lake (St. Mary), allow for seniors to leave early
- 5/11-12 Midwests
- 5/18 States
- 5/23-26 Nationals: Cooper River Park NJ
- MS: race summary to MC this week.
- Secretary’s Report (JM)
- Boathouse: Athletic dept. agreed to pay $250 cleaning supplies per year, ordered paper towel, hand soap, hand sanitizers as approved prior mtg
- Cleaning by team/captains going well
- Desire for new whiteboard and historic team photographs mounted on walls.
- Will d/w Jeff re: winterizing boathouse water main
- Communication Report (MC)
- Worked Rolf, domain now transferred.
- EGR Crew drive – finishing moving all files over

- Events calendar to be loaded
- Training plans to circulate via email, not website
- Credit card and contactless pay for Erg-a-thon
- Volunteer Report (JC)
- Erg-a-thon – decorations/coordinating. Pledge sheets out earlier.
- 776BC store discussed better designs than JL for similar costs.
- Discussed renting a truck to tow boat trailer to encourage more parent drivers.
- Events Report (EB)
- Set date for spring parent meeting – March 7. Try to get into Cheat Sheet and AD newsletter. Little Auditorium and cafeteria.
- Regattas – assign students jobs. Continue to reduce phone use, went well in fall.
- Food desired at regattas. Team dinners on some Thursdays, for championship regattas. Pizza on bus home from States.
- Drivers should have a paid hotel room for Friday night, to trailer Friday afternoon.
- Travel planning (AT)
- Getting bus for states, there and back. Students stay with parents reserved from hotel block.
- Rooms for drivers and coaches for Midwest.
- No hotel block for Loyola regatta, parents can arrange
- Next Meeting – February 12 – JM away
