Board Minutes: September 11, 2023

Call to Order at 19:07
Roll Call:

1. Proposed date for December meeting – Dec 18 — Voted to skip December meeting
Old Business:
Boathouse AED — Can buy from Amazon, $1600. All coaches will need to be trained, certified to use. Training free from EGRHS athletic trainer. JM to research and order, oversee installation.

Standing Reports:
1. President’s Report (JC)
  1. Trailer has damage. Will do basic repair to ensure it’s weatherproof.
2. Vice President’s Report (MS)
  1. Middle School regatta 9/22 — just need power and unlock gates, sweep dock.
  2. Communication coming for this weekend’s regatta
3. Treasurer’s Report (DR) —
  1. 67 total rowers, $2100 less than projected, but $2100 income from learn-to-row. Crew closet generated $300. Boathouse fund paid invoice for water fountains.
  2. Insurance — boats/trailer are insured, driver’s personal policy would respond to any vehicle damage.
  3. Fundraising — boosters allows donations through their organization.
  4. Big Bob’s fundraiser, would donate 15% of top line on a Monday. Agreement to pursue this.
  5. EGR Schools Foundation, a few rowers have grants to participate
  6. All rowers accounted for, including several on payment plans and grants.
  7. Seasonal budget hard to measure, monthly may work better.
  8. Executive training fundraising discussed, via flyer and networking. Was successful a few years ago.
4. Head Coach Report (BC):
  1. Team trending well.
  2. Has list of boat components needing repair/replacement. Less than $1000. Launches have some maintenance issues. Megaphone needed. One missing, MS to check with Jeff O.
  3. School contribution for the year $7,000
  4. Date of banquet — pot luck, middle school cafeteria. Voted for 10/30 6:30 pm.
5. Secretary’s Report (JM)
  1. Boathouse siding being wire-brushed. Exterior finishing happening within a month
  2. Boathouse toilet-paper holder from Athletic dept — need contact from BC — Asked Chris, BC to reconnect and ask again.
  3. Dock — Between Jeff and Burt Sherman, there was a plan — precast vs. poured. JCA will discuss with Jeff and keep momentum up.
6. Communication Report (MC)
  1. Added regatta schedule and team photo to homepage
  2. Adding HOCR payment page
  3. Voted to pass along 2.9% fee for Stripe payments, with free options including Zelle.
  4. Editable newsletter document for improved collaboration.
  5. Re: Amy Townsend, we’re not currently in weekly Cheat Sheet. BC contacted and and we will be included.
7. Volunteer Report (JC)
  1. Volunteers obtained for triathlon. Could use post-tryout celebration as an opportunity for educating potential volunteers and increasing parent engagement.
  2. Spirit wear orders in later this month
  3. Discussion of how to recognize volunteers, with leaderboard, or year-end prize
  4. Visors are in, with discount. Discussed purchasing beanies for kids or parents to buy at regattas.
8. Events Report (EB)
  1. Food volunteering is set for Cleveland.
  2. Team dinners — per BC, captains would like dinner on October 27, maybe 5:30 or 6, and brunch at boathouse after Saturday AM Practice on September 23.
