- President’s Report (JCH)
- Popcorn fundraiser update – contact no longer with the company, other avenues will be pursued.
- Boosters — will publicize opportunities to help out at parents’ meeting.
- Booster/School Club Sport Bylaw review by Feb 5, 2024
- AED – $2300. More details being sought, JCH to check with City re: any assistance with purchase.
- Sandbags needed for tents, $225 for 8 more bags Approved
- Head Coach Report (BC)
- Head coach position will be posted in September. No additional input needed from Board at this time.
- First week of coaching complete, tryouts went well. Novices off to good start.
- Races – entry fees. HOC regatta may run $4,000-5,000 in total. Coaches will decide by 9/1/23.
- Post-tryout celebration – Monday 8/21.
- Thursday 8/24 Breton Downs event – rowers to help out.
- Reeds Lake Triathlon – we are required to supply launches and set buoys.
- LED lights in boats need repair/replacement, will bring to Vassily. Any coach is empowered to interface.
- Novices may be going to Head of Cuyahoga, coaches to decide. The deadline for hotel booking is this Friday.
- HOCR crew petitions due September 1.
- Vice President’s Report (MS)
- Work to commence on Board handbook this month, requested subjects inclusions from Board.
- Suggested specific attention for Community and Alumni Engagement, and individual to chair fundraising, to be coordinated under Treasurer. Per MV, should encourage to attend board meetings (ideas suggested; Pickleball tournament; Selling food; Parents’ night out – pay $50, drop kids off at boathouse, they go to football game with rower supervision).
- Treasurer’s Report (DR)
- Proposal to move to an annual budgeting process, rather than seasonally to allow for accurate budget provision and reporting. Initial view next month.
- As of 8.13.23, 67 registered, 53 paid.
- Treasurer-to-parent individual conversations to be held re: non-payment.
- Communications Report (MC)
- Website launch was successful. Ongoing:
- Password management for various accounts, to clean up on Google Drive.
- A login function could allow for team-only content on the website, to be considered.
- Communications committee required for social media, etc.
- Recording Secretary Report (JM)
- Boathouse update:
- Thermostat programmed (met with SBS)
- Floor vents — will caulk window vents (better for dirt/dust entry to duct), will work with Jeff Olsen to recess the duct at the side door.
- Drainage — will get parents involved this fall for a couple of hours, minimal supplies to run a drainage pipe.
- Cleaning – students to perform sweeping and occasional bathroom, cleaning and coordination with captains. Will assess the progress through fall. JM to contact athletic custodial manager re: TP dispenser from school.
- Exterior finishing — Voted against replacing paint-speckled rear siding for $1,000, will treat with brushes/solvents. JM to work on, report results.
- Volunteer Report (JCO)
- Clarification of roles for volunteers – travel allowance at team hotel rate resolved.
- Insurance for hauling – boats/equipment is insured, will require insurance for own vehicle.
- Senior Banners $40, we will ask senior parents to pay for, with JM to cover any shortfall. Tom Townsend to shoot banner photos. Will be announced at parents’ meeting. Dress code is Uni’s.
- Mary Valentine (MV) update:
- Wants a bus for Gallup. $1,600 estimated cost.
- Trailer tow person for Head of Cuyahoga has a room reserved.
- Events Report (EB)
- Parent food tent – $800 per regatta is earned by another school that does a dedicated parent food tent. Questions raised regarding parents staying in the tent with rowers (re “sanctity of the locker room”). EB to explore options.
- Exploring bus for regattas, more for spring time.
- Carpooling — to be parent-organized through Slack, will publicize for parents’ use.
